Who is this installation aimed at?

This option is aimed at organisations or individuals who want to get all the benefits of the Tawanda LMS but don't have the necessary technology or human infrastructure to run it. This option implies that Tawanda will host and operate the software for you. There is no limitation on the number of qualifications, learnerships, skills programmes, courses or learners you load.

What must happen before you can use Tawanda LMS?

    1. Satisfy yourself that the Tawanda LMS is suitable for your needs.

    What options are there to do this?

        • Request and read the documentation.
        • Request a telephonic or in person demo of the program.
        • Read the draft Tawanda LMS License Agreement.
        • Optional.  Conduct a trial run of the program. This will involve a small cost but is essential to get to grips with the program's functions.

2. Sign the Tawanda LMS License Agreement.

The Agreement regulates the relationship between yourself and Tawanda Learning and protects both parties' intellectual property.

3. You supply us with all the data to be loaded on the Tawanda LMS using the format we will give you.

    These formats have been carfully worked out to ensure that you supply all the required data for a successful loading and will include some or all of the following depending on your needs:
    • User registration information.  This is the information required by the NLRD (National Learner Record Database).
    • Learner enrollment information.  This is the information we need to enroll a learner on qualification or skills programme.
    • Assessment schedule information per learner or per group of learners.
    • The qualification or skills programme information.
    • The unit standards (if it is a unit standard-based qualification or skills programme).
    • Any course material that must be delivered to learners as downloads.
    • The assessment names and any attachments that must be delivered to learners as downloads.
    • The assessment questions for electronic knowledge assessments.  The following 10 question types are supported:
      • True or false
      • Yes or No
      • Multiple-choice
      • Matching columns
      • Drag and drop - text
      • Drag and drop - images
      • Hot-spot interaction
      • Software or form simulation
      • Drop downs (users have to select the correct options for 3 related drop downs given a scenario)
      • Open-ended

        All 10 question types support image, audio, video and attachments files as resources and allow learners to upload attachment files into their portfolio.

    • The assessment tasks/activities for assignment-based assessments.
    • The rules of the qualification.  These rules relate to the way the Tawanda LMS must manage the delivery of the assessments.  Examples include:
      • The prerequisite requirements to take an assessment.
      • The way the assessment must be marked i.e. automatically by the Tawanda LMS or by an Assessor.
      • Whether the assessment can be returned to a learner or not and if so how many times.
      • The rules governing how many times an assessment can be taken.
      • Whether learners must be warned about assessment deadlines.
      • The rule governing what happens when an assessment deadline is missed.
    • The details of your Assessors and Moderators (both Internal and Extermal).
    • The information on which Assessor and Moderator will assess or moderate each assessments.
    • The price you pay an Assessor for marking an assessment.  The Tawanda LMS tracks all markings and produces a report showing the total amount owing to an Assessor each month.
    • The survey names and questions.
    • The rules governing when surveys must be delivered to learners.
    • Your e-Course material.  Use of the e-Course function is optional.
    • Classroom course information.  This information is used to set up the Tawanda LMS with your delivery locations and venues and to schedule your courses.
    • Classroom course schedule.
    • Learner enrollment information on classroom courses.

4. Tawanda will load the data and test it with you before we enroll any learners.  Note: The data listed above may not be needed all at once because it may be possible to capture it on an "as needed" basis.

5. Tawanda will manage your data as you make changes to it.

6. Tawanda will send you reports to help you keep track of learners' progress and other aspects of a successful implementation.  There are many reports but here are a few examples to whet your appetite:

  • Learner progress.  This report is automatically generated and emailed daily, weekly or monthly and you can have it sent to as many people as you like.  All we need is each recipient's email address.  From this report it is also possible to view the learners' portfiolios.
  • SETA registrations' report.  This report is available on request and contains the personal details of learners that have been registered on your qualifications.
  • SETA learnership enrollments report. This report is available on request and contains the learnership details of learners that have been registered on your learnerships.
  • SETA unit Standard enrollments report. This report is available on request and contains the list of unit standards of learners that have been registered on your learnerships.
  • Statement of results.
  • Results per unit standard.
  • Credits acquired.
  • Learners with blocked assessments. (Assessments can be automatically blocked by the Tawanda LMS based on your requirements).
  • Learners with untaken surveys.
  • Unmarked assessments. This report helps you to track Assessors that are not marking in time.
  • Percentage completion.  This report helps you to track the overall progress of learners based on the ratio between the number of assessments they have completed and the duration of their qualification.
  • Course attendance lists.
  • Assessor marking report and costs.
  • Survey results.
  • Assessment analysis i.e. results per unit standard, outcome and criterion (for electronic knowledge assessments only).
  • The number of learners who are ready for Internal and External moderation.
  • If we don't have a report and provided we have the data we will draw adhoc reports for you and deliver them in either MS Excel or MS Word.

7. You will be required to:

  • Supply the Assessors.  Your Assessors will be give their own log in to the Tawanda LMS.  They will be notified automatically via email when assessments have been submitted by their learners and will be able to log on and mark these assessments on-line.
  • Supply the Moderators (Internal and External).  Your Moderators will also be given their own log on to the Tawanda LMS.  They will notified automatically via email of the number of learners that are ready for moderation and will be able to log on and moderate these assessments on-line.
    Keep us informed of any changes to data such as:
    • Users' personal details.
    • Qualifications.
    • Assessment questions.
    • Assessment schedules.
    • Assessors and Moderators.
    • Classroom course schedules.
    • Survey questions.
    • e-Course material.
